Exhibits will be located in both the Calvert Foyer (left)
and the Calvert Ballroom (below). Spaces #1 through #20
are dedicated to sponsors at the $5000 level and above.
All other spaces are assigned on a first come first served
basis. Scheduled breaks will be held in and near the exhibit
areas, which will be open throughout the conference.

To become an exhibitor at the MCEC SUMMIT 2018, please complete this contract and submit payment with the application per instructions in Section VII of this form. Exhibitors are approved on a first-come, first-served basis after full payment is received. Preference for booth space location will be given to sponsors and returning exhibitors, and then filled on a first come first serve basis.

EXHIBITOR PROCESS AND DUE DATES

  • Submit completed application to reserve Exhibit Space by email to
    admin@mdcleanenergy.org
  • Preference for booth space location will be given to sponsors and returning
    exhibitors, then filled on a first-come, first-served basis.
  • Include payment with completed application. Payments may be made by check or
    credit card. For payment by check MCEC will invoice upon request. All payments
    must be made within 15 days of your reservation to hold your booth space.
  • Following receipt of payment, MCEC will send an Exhibitor Confirmation Packet that
    will include: complimentary registration information, logistics, shipping and delivery
    details, booth rules and regulations, booth number and location, and receipt of
    payment.
  • Submit Complimentary Registration Forms for (2) Full Conference Attendees* by
    no later than October 1, 2018.
  • There is no limit to the number of people who may be involved in booth set up
    and break down. Once the conference begins, only the badged attendees will be
    admitted. Additional registrations may be purchased online atmcecsummit.org.
  • If different than above. This is how the name of your organization will appear in all promotional materials and signage.

TERMS AND CONDITIONS

A. General Terms and Conditions
Applicant hereby acknowledges to abide by all MCEC Summit 2018 policies, rules, conditions and terms
listed below and as published online and/or in printed materials. Applicant also agrees to abide by any and all
additional policies, rules conditions or regulations that are reasonably necessary for the success of the event or

the safety, well-being, and interest of MCEC staff and other attendees.

MCEC Summit 2018 Management, hereinafter referred to as “Summit Management” shall retain the authority to
interpret and enforce these rules. All matters not covered by these rules are subject to the discretion of Summit
Management. The sponsoring and/or exhibiting organization or its representative who fails to observe these
conditions or the terms of the contract may be excluded from the MCEC 2014 Summit without refund. This
Agreement shall be governed in accordance with the laws of the State of Maryland. Sponsoring and/or exhibiting
organization submits to the jurisdiction of the state and federal courts within the State of Maryland for any and
all proceedings related to this Agreement. Summit Management reserves the right to approve or deny any
application to sponsor and/or exhibit at MCEC Summit 2014.
B. Fees, Payment & Cancellation Fees
Exhibitor fees:
$725 through July 30, 2018
$850 through October 1, 2018

Full payment is due with this contract.

Late Payment:
Summit Management retains the right to cancel exhibit space if payment is not received within 15 days of

reservation submission.

Cancellation:
Cancellations must be received in writing (mail, fax, or email). Cancellations received on or before Monday,
September 1, 2018, will be refunded minus a 25% processing fee. Cancellations received after Monday,
September 1, 2018, are non-refundable.
C. Security, Liability & Insurance
Security:
Sponsors desiring special security for an exhibit display or any other property belonging to the sponsoring

organization are responsible for arranging for such service and must notify Summit Management.

Liability:
Sponsors agree to obtain and maintain during the use of the exhibition premises, Comprehensive General
Liability Insurance covering themselves for property damage and any acts or omissions which cause bodily injury
to any person authorized to be attending the conference or in the Marriot Inn and Conference Center during the
MCEC Summit 2014. The Maryland Clean Energy Center and the Marriott Inn and Conference Center at UMUC

shall be named as additional insured’s in such policies.

Insurance:
Sponsors, including those who are exhibiting, assume the entire responsibility and liability for losses, damages
and claims arising out of the sponsor’s activities on the Marriot Inn and Conference Center at UMUC premises and
will indemnify, defend, and hold harmless, the Maryland Clean Energy Center, as well as their respective agents,
servants and employees from any and all such losses, damages, and claims or expenses arising out its use of the
premises except for any claims, loss or damages arising directly from the Marriot Inn and Conference Center’s
own negligence. The sponsor understands that neither the Maryland Clean Energy Center, nor the Marriot Inn
and Conference Center at UMUC maintain insurance covering the sponsor’s property. It is the sole responsibility
of the sponsor to obtain such insurance in order to be protected. The Maryland Clean Energy Center and the
Marriot Inn and Conference Center reserve the right to eject persons from the premises at their reasonable
discretion.
D. Force Majeure
This Agreement shall terminate in the event that any or all of the conference venues for the MCEC Summit 2014
are damaged or destroyed by fire or the elements, or by any other cause, including but not limited to government
intervention or regulation, military activity, strikes, or any other circumstances that render it impossible to hold the
MCEC Summit 2014 or any of its ancillary programs. The sponsoring organization agrees to waive any claim for
property or other damages in connection with the aforementioned circumstances.
